FMCG distribution software in the UAE: expiry-controlled stock, van sales and retailer pricing on one ledger

FMCG distribution software in the UAE must move high volumes of short-dated goods to supermarkets, groceries and food service outlets without selling expired stock or losing margin to unrecorded promotions. Distributors in Dubai and Abu Dhabi run vans on routes, settle in cash and credit, and answer to brand principals for sell-out and claims. e-tijariX, offered, implemented and supported by Next Orbit, has an FMCG preset built for this flow.

  • FEFO with expiry and recall
  • Van sales and route plans
  • Retailer tiers and promotions
  • Returns and principal claims
  • Expiry date inventory software with FEFO
  • Van sales software and route planning
  • Retailer pricing, promotions and portal
  • Purchasing from principals and forecasting

Quick answer

What is FMCG distribution and who is it for?

FMCG distribution software in the UAE tracks every carton by lot and expiry, picks first-expired first-out, loads vans by route, sells to retailers at their agreed prices and promotions, handles returns and principal claims and posts everything to one ledger. e-tijariX, offered, implemented and supported by Next Orbit, includes an FMCG preset, lots with recall trace, van stock with offline sales, a promotions engine, a retailer portal and finance with VAT 201 and e-invoicing readiness, in Arabic and English. Next Orbit configures routes and trains the teams.

  • Expiry under control. Lots carry production and expiry dates, picking is FEFO, near-expiry stock is flagged for promotion or return and a recall trace shows which outlet received which lot.
  • Vans as moving warehouses. Each van is a stock location loaded by route, sells and collects offline on a mobile app and settles stock, cash and cheques at the end of the day.
  • Prices and promotions by outlet. Retailer tiers, contract prices, bundles, volume breaks and time-bound promotions apply automatically on the van, in the portal and on the invoice.
  • Claims the principal will accept. Returns, damages, expiry write-offs and promotional spend are recorded by lot and outlet, so claims to brand principals are built from the record.
  • Office. Next Orbit Technologies L.L.C, 509-23, Mai Tower, Al Nahda 1, Dubai, United Arab Emirates, serving the whole UAE, the GCC and globally.
  • Built around your operation The architecture is agreed with you before any code, so the system fits how you already work.
  • Proven before you commit A prototype built around your workflow shows it working before the main investment.
  • Ready for the UAE Arabic and English, UAE compliance such as VAT and e-invoicing where it applies, UAE hosting where your rules require it, secure by design.

Questions, answered

FMCG distribution in the UAE: questions we are asked

01 What does FMCG distribution software in the UAE need that a general ERP lacks?

Lots with expiry and FEFO picking, vans as stock locations with offline sales, route planning, retailer-specific prices and promotions, returns and principal claims, and forecasting that respects Ramadan and Eid. e-tijariX, offered, implemented and supported by Next Orbit, provides these through its FMCG preset on one database.

02 How does van sales software work without a connection?

The rep loads the van from the warehouse, then invoices, collects and records returns on a mobile app that works offline on the route. When the signal returns, sales sync without duplicates, and the end-of-day settlement compares van stock, cash and cheques with the invoices raised.

03 Can FMCG distribution software in the UAE trace a recalled lot?

Yes. Each lot is tracked from the supplier receipt through warehouse, van and outlet invoice, so a recall notice produces the list of outlets and quantities in minutes. Blocked lots cannot be picked, and write-offs post at FIFO cost with an audit trail for the principal.

04 How are promotions and trade spend controlled?

The promotions engine defines bundles, volume breaks and time-bound offers by retailer tier, applies them on the van, in the portal and on invoices, and attributes the spend in AED. Reports show the cost and the uplift of each campaign, which supports claims to principals and decisions on the next one.

05 Can retailers reorder online?

Yes. Outlets receive a login to a B2B portal after approval, see their contract prices and promotions, reorder from history, view statements and pay by link. Orders reserve stock and join the next route, which reduces calls to the sales rep. See dealer portal software.

06 Does the forecasting understand UAE seasons?

Yes. Demand forecasting uses sales history and knows the GCC calendar, including Ramadan, Eid, the Dubai Shopping Festival and school terms, so suggested orders rise before the season rather than after it. Suggestions become draft purchase requests with one click and go through approvals.

07 How is VAT handled on returns and expired stock?

Returns from outlets are credited by tax credit note against the original invoice, expired write-offs post at cost with the VAT treatment your adviser confirms and VAT 201 boxes are calculated from live data. The corporate-tax pack reflects the same entries. This is not tax or legal advice. See e-tijariX.
